Being a Notion Ambassador is exciting, but with members spread across the globe, it can be tricky to stay connected. While automated emails kept people informed about community discussions, they felt a bit robotic and missed the human touch that makes community special. We needed a better way to help Ambassadors discover opportunities, get to know each other, and stay in the loop with what's happening across different regions.
Approach
Here's how we tackled creating a newsletter that would really serve the community:
Getting the format right:
Built a consistent structure mixing community updates, upcoming events, and member spotlights
Created clear sections to make different types of content easy to find
Set up a simple way for community members to share their updates
Making content count:
Started an Ambassador Spotlight to help members get to know each other better through more in-depth interviews
Picked out the most interesting discussions and opportunities from various channels
Organized everything so it's quick to scan but still packed with useful info
Building it in Notion:
Used Notion (of course!) to make the newsletter easy to access and update
Created templates to keep each issue looking consistent
Developed a smooth process for gathering monthly content
Made it easy for community members to contribute
Growing and improving:
Started simple with just the basics
Added fun stuff like community polls and video answers from featured Ambassadors as we went along
Made things more visual and engaging
Listened to what the community wanted and adapted each issue
Outcomes
The Ambassador Newsletter has become a regular connection point for the global Notion Ambassador community, delivering value through both content and approach:
Rapid development and evolution
Launched the first newsletter issue quickly, focusing on progress over perfection
Improved each subsequent issue through thoughtful iteration
Established a sustainable process for gathering and sharing community updates
Created a template that could be consistently enhanced based on community feedback
Community impact
Successfully bridged communication gaps between different regional communities
Increased engagement through interactive elements and community spotlights
Provided a platform for Ambassadors to share achievements and opportunities
Created a more connected global Ambassador community
Leadership recognition
As shared by Alex Witkowski, Global Program Manager, Community at Notion:
"From the moment we started collaborating, I could immediately tell that you are the rare person who is as excited about execution as you are about ideation. You don't just talk about ideas--you bring them to life, and you bring them to life very quickly."
"Each issue of the Ambassador newsletter has gotten better even though we started off with a very strong product out of the gate. Every month you have a new idea that makes the concept 10% better, which also helps sustain the energy around the project."
The newsletter continues to evolve, with each issue building on previous successes while introducing new ways to engage and connect the Ambassador community.
